Building Committee Meeting Minutes

September 14, 2023

The meeting was called to order at 6:30 PM.

Action Items:

1.       John will sit down with Fransen Pittman to better understand their assumptions about costs for various construction items. Dennis would like to be at the meeting.

2.       Dennis will talk with Dale Sanders of IDG to get them started on the design drawings with an objective of getting those 50% completed and gain an understanding of the expected duration for 50% vs 100%. The design drawings will address the entire project because it is easier to take out options then to add in options.

Building Costs:

Fransen Pittman Construction began pricing of the project without charging for their efforts. Their feedback was there were too many options and thus, provided a very rough pricing estimate. The team discussed steps to get more detailed pricing.

One option is to pay someone to do pre-construction costing, but we would likely be in a similar situation because all that is available is conceptual drawings. Design drawings are needed to improve the accuracy of the cost estimates.

Another option is to get started on the design drawings for the entire design or focus on 1 option and then use those drawings to get a better cost estimate. One example is the estimate of $1M for site work, but that is expected to be significantly over estimated. Another example is the possibility of pulling the office upgrade out of the cost estimate and defer it to the future.

The current budget is estimated at $5M which includes interest on the construction loan, the organ installation, and money already allocated. Perhaps another fund raising activity is needed for the organ.

Organ Costs:

Initial estimates for the organ from Berghaus Organ Company are $725K. They require 30% of the cost upfront. The organ will need to be moved from Ohio to the Chicago area. Storage fees will be applied to the installation costs.

What would a new organ cost?

Would it be possible to move the organ ourselves? The original move to Ohio required 2 semi-tractor trailers and cost about $7K. The components are crated up.
